Please read these terms carefully before using Bedspace Manager. By creating an account or using any part of the platform you agree to be bound by them. Questions? support@bedspacemanager.com
1Acceptance of Terms
These Terms of Service (“Terms”) form a legally binding agreement between you and Bedspace Manager(“we”, “us”, “our”) governing your access to and use of the Bedspace Manager platform, including the web application, iOS app, Android app, and the marketing website at https://www.bedspacemanager.com (collectively, the “Service”).
By creating an account, clicking “I agree,” or otherwise accessing or using the Service, you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. If you are using the Service on behalf of a business, you represent that you have the authority to bind that business to these Terms.
If you do not agree to these Terms, do not use the Service.
2Service Description
Bedspace Manager is a PropTech SaaS platform built for operators of shared accommodation — including bedspaces, PGs (paying guest accommodations), student hostels, staff housing, labour camps, and co-living spaces. The platform supports the full lifecycle of a monthly rental business: property and unit management, tenant onboarding, lease creation, invoice generation, payment tracking, maintenance requests, financial reporting, and team collaboration.
The Service is available on iOS, Android, and web, and operates in all countries where Google Maps location data is available. Currency, time zone, and locale are set automatically based on your country selection at account setup.
3Accounts & Registration
Creating an Account
You may register using an email address and password, or via Google OAuth. You must provide accurate and complete information and keep it up to date. You are responsible for all activity that occurs under your account.
Account Setup
After registration you will be asked to set up your business by providing:
- Business name — this name will appear on all PDF invoices sent to your tenants via WhatsApp.
- Country — this setting is permanent and cannot be changed after account setup. It determines your currency, time zone, and location context across the entire platform.
Email Verification
A verification token is sent to your email address at sign-up. You must verify your email to access all platform features.
Team Members
Depending on your subscription plan you may invite team members. Each member is assigned one of five roles — Founder, Admin, Manager, Finance, or Agent — which control their access level. You are responsible for the actions of all team members on your account. Remove team members promptly when their access is no longer required.
Account Security
Keep your password confidential. We will never ask for your password by email or phone. If you suspect unauthorized access, change your password immediately and notify us at support@bedspacemanager.com.
4Subscriptions & Billing
Plans
Bedspace Manager offers four subscription plans, each with a maximum active lease limit:

You must choose a plan before accessing the full platform. Only one active subscription per business account is permitted at any time.
Billing Cycles & Prorations
- Subscriptions are billed on a recurring cycle (monthly or annual, as chosen at purchase).
- Upgrades take effect immediately; the difference is prorated for the remaining period.
- Downgrades take effect at the end of the current billing period.
- All prices are shown inclusive of applicable taxes where required by law.
Payment
Payments are processed by our third-party payment provider. By providing payment details you authorize us to charge the applicable fees on a recurring basis until you cancel. We do not store your full card number.
Cancellation
You may cancel your subscription at any time from within the platform. Your account will remain active until the end of the current billing period. After that, your account enters a 4-month read-only window (see Section 7).
We do not offer refunds for partial billing periods, except where required by applicable consumer protection law.
Failed Payments
If a payment fails, we will retry using the card on file and notify you by email. If the payment remains outstanding after reasonable retry attempts, we may suspend or downgrade your account until the balance is settled.
5Acceptable Use
You agree to use the Service only for its intended purpose of managing shared accommodation businesses. You must not:
- Use the Service for any unlawful purpose or in violation of any applicable law or regulation
- Enter false, misleading, or fraudulent tenant, lease, or financial data
- Attempt to gain unauthorized access to any part of the platform or another user's account
- Reverse-engineer, decompile, or attempt to extract the source code of the Service
- Use the Service to transmit spam, malware, or any malicious content
- Resell, sublicense, or white-label the Service without our written permission
- Use automated bots or scrapers to access the Service outside the provided API
- Use WhatsApp message delivery (invoice dispatch) in a way that violates WhatsApp's Business Policy
Violation of these rules may result in immediate suspension or termination of your account at our sole discretion.
6Your Data
Ownership
You retain full ownership of all data you input into the Service — including property information, tenant records, lease details, and financial data (“Your Data”). We do not claim any intellectual property rights over Your Data.
License to Operate
By using the Service you grant Bedspace Manager a limited, non-exclusive, royalty-free license to store, process, and transmit Your Data solely as necessary to provide and improve the Service. This license ends when you delete your account or your data is purged under the retention policy.
Data Accuracy
You are solely responsible for the accuracy, legality, and appropriateness of the data you enter. In particular, you must have a lawful basis for storing tenant personal data (such as names and phone numbers) and you must comply with all applicable data protection laws in your jurisdiction.
Invoice Integrity
To maintain financial audit integrity, Bedspace Manager enforces the following rules that cannot be overridden:
- Invoices cannot be modified — amounts can only be corrected via adjustment entries.
- Invoices cannot be deleted — they can be voided, which removes them from all calculations but preserves the record.
- Transactions on invoices cannot be deleted — they can be voided, and voided transactions are excluded from financial calculations.
These rules exist to protect the integrity of your financial records and are a core design principle of the platform, not a limitation that will be removed.
7Retention & Deletion
Active Subscription
All Your Data is retained and fully accessible for as long as your subscription remains active.
After Cancellation — Read-Only Window
After your subscription ends, your account enters a 4-month read-only period. During this time you can view and export all your data but cannot create, edit, or delete records.
Early Deletion
You may request immediate deletion of your account and all associated data at any time by contacting us at support@bedspacemanager.com. Deletion is permanent.
8Intellectual Property
The Service — including all software, algorithms, user interface designs, trademarks, logos, and documentation — is owned by Bedspace Manager and protected by applicable intellectual property laws. These Terms do not transfer any ownership rights in the Service to you.
You are granted a limited, non-exclusive, non-transferable, revocable license to access and use the Service solely for your internal business operations during the term of your active subscription.
Feedback, suggestions, or ideas you voluntarily submit about the Service may be used by us without obligation or compensation to you.
9Third-Party Services
The Service integrates with the following third-party platforms. Use of these integrations is subject to their respective terms and policies:
- Google Maps Platform — property address lookup via Google Places API. Your use is subject to the Google Maps Platform Terms of Service.
- WhatsApp Business API — invoice PDF delivery to tenant phone numbers. Your use is subject to WhatsApp's Business Policy. You are responsible for obtaining appropriate consent from tenants before sending WhatsApp messages.
- Google Sign-In — optional OAuth authentication. Subject to Google's Terms of Service.
- Payment Processor — subscription billing. The processor's terms are presented at checkout.
We are not responsible for the availability, accuracy, or terms of any third-party service. Disruptions to third-party services (such as WhatsApp outages) do not constitute a breach of these Terms.
10Disclaimers
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.
We do not warrant that:
- The Service will be uninterrupted, error-free, or available at all times
- Any errors or defects will be corrected
- The Service is free of viruses or other harmful components
- Results obtained from using the Service will be accurate or reliable
We may modify, suspend, or discontinue any part of the Service at any time. We will provide reasonable notice of material changes where practical.
11Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, BEDSPACE MANAGER AND ITS OFFICERS, EMPLOYEES, AND AGENTS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES — INCLUDING LOSS OF PROFITS, DATA, OR GOODWILL — ARISING FROM OR RELATED TO YOUR USE OF OR INABILITY TO USE THE SERVICE.
OUR TOTAL CUMULATIVE LIABILITY TO YOU FOR ALL CLAIMS ARISING UNDER THESE TERMS SHALL NOT EXCEED THE GREATER OF (A) THE AMOUNT YOU PAID TO US IN THE 12 MONTHS PRECEDING THE CLAIM OR (B) USD $100.
Some jurisdictions do not allow the exclusion or limitation of certain damages. In such jurisdictions, our liability is limited to the maximum extent permitted by law.
12Indemnification
You agree to indemnify, defend, and hold harmless Bedspace Manager and its officers, directors, employees, and agents from any claims, damages, losses, liabilities, and expenses (including reasonable legal fees) arising from:
- Your use of the Service in violation of these Terms
- Your violation of any applicable law or third-party right
- Data you input into the Service, including any tenant personal data you store
- Your failure to obtain appropriate consents from tenants before sending communications
13Termination
By You
You may cancel your subscription and close your account at any time. Cancellation ends billing at the close of the current billing period and initiates the 4-month read-only window described in Section 7.
By Us
We may suspend or terminate your access to the Service immediately and without prior notice if:
- You materially breach these Terms and fail to cure the breach within 7 days of notice
- You engage in fraudulent, illegal, or abusive conduct
- Continued provision of the Service to you would expose us to legal liability
- We are required to do so by law or court order
In the event of termination by us for cause, we reserve the right to deny future access to the Service. Where termination is not for cause, we will provide at least 30 days' notice and a pro-rated refund for any prepaid unused period.
Effect of Termination
On termination, your license to use the Service ends immediately. Sections covering Intellectual Property, Disclaimers, Limitation of Liability, Indemnification, and Governing Law survive termination.
14Governing Law
These Terms are governed by and construed in accordance with applicable law. Any dispute arising from these Terms or your use of the Service shall first be attempted to be resolved through good-faith negotiation. If the dispute cannot be resolved within 30 days, both parties agree to binding arbitration or the jurisdiction of the courts applicable to the registered entity of Bedspace Manager.
If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.
15Changes to These Terms
We may update these Terms from time to time. The “Last updated” date at the top of this page will always reflect the most recent version.
- Minor changes — clarifications, formatting, or corrections that do not affect your rights. Effective immediately on posting.
- Material changes — changes to pricing, data handling, liability, or any provision that meaningfully affects your use of the Service. We will notify you by email at least 14 days before the change takes effect.
Continued use of the Service after changes become effective constitutes your acceptance of the revised Terms. If you do not agree to the revised Terms, you must stop using the Service and cancel your subscription before the effective date.
